Panel Visit and Library Handout (for EPEC and PEQAB Program Renewal Site Visits)

A year or so after a degree programs undergoes a self-study review, a PEQAB renewal site visit will occur. This visit includes a
panel meeting, which is usually attended by Joy or Michelle. Information will need to be compiled and sent to Joy and Michelle so that whichever one of them will be attending the meeting can prepare it.

In rare cases, the library is asked to participate in a practice-run PEQAB visit, called an External Program Evaluation
Committee (EPEC) visit, prior to the actual PEQAB renewal site visit. These visits are set up by the college to make sure everything is ready for the actual PEQAB visit, with the college choosing the panel of assessors. Everything else about the visit is the same as for the PEQAB renewal site visit though.


The following instructions describe how to prepare for an upcoming EPEC renewal visit (see left-hand column instructions) or PEQAB renewal visit (see right-hand column instructions) for an existing degree.

Step #1: Compile Information for Joy's EPEC Panel Discussion

In order to ensure that Joy / Michelle will have all of the information needed for the EPEC panel discussion, email the following information to Joy, Michelle, Joanne and Pam:

  • the most recent library support summary that was completed for the program that is undergoing review (See the Phase C repository)
  • a program description from the college's program page -- see here for an example
  • a paragraph or two of key IL and IR information about the specific program being reviewed (highlighting key strengths and weaknesses) -- see here for an example; keep this paragraph on file because you will use it as a starting point when the PEQAB visit for the program eventually occurs (usually within a year)
  • easily printable screenshot(s) of the subject guide(s) most relevant to the program undergoing review -- see here for an example

Below are handouts prepared by library staff in preparation for existing degree EPEC renewal site visits. These visits serve as preparation for actual PEQAB renewal visits, and the library only started creating them in 2017.
